Work and business-travel calculators

Settling a business trip, or running a company that sends staff on delegacje? These calculators work out mileage allowance (kilometrówka), domestic and foreign per-diem, car flat-rate allowance and team-building trip costs. You can also check your employee rights — severance pay, notice period, annual leave entitlement or remote-work cost reimbursement. Useful for employees on business trips, drivers claiming private-car use, business owners and HR teams.

Business travel and labour law in Poland 2026

Mileage allowance (kilometrówka) 2026. If an employee or business owner uses a private car for work purposes, they can claim mileage allowance — a rate per kilometre driven. The current maximum rates are PLN 0.89/km for a passenger car with an engine over 900 cc and PLN 0.69/km for up to 900 cc (motorcycles and mopeds have separate, lower rates). Claiming it requires a vehicle mileage log with the date, route and distance for each trip. Our mileage calculator applies the rate you select to the distance you enter. Domestic and foreign per-diem. For each day of a domestic business trip an employee is entitled to a per-diem, with an indicative rate of roughly PLN 45–50 per day — always check the current regulation from the Ministry of Family, Labour and Social Policy (MRiPS), as the exact figure is updated periodically. The per-diem covers extra meal costs; it is reduced proportionally if the employer provides meals (typically 25% for breakfast, 50% for lunch, 25% for dinner). Foreign business trips use separate per-diem rates set individually for each destination country (in EUR, USD or another currency), and the amount also depends on the length of the trip (full and partial days). Our domestic and foreign per-diem calculators estimate the amount owed based on the number of days and destination. Car flat-rate allowance and trip costs. Besides mileage allowance, employees can also claim a flat-rate car allowance — a fixed monthly kilometre limit that depends on the population of the municipality where the car is used. A full business-trip settlement also includes accommodation and travel reimbursement and commuting flat rates — all covered by our business-trip cost and business-travel cost calculators. Companies organising team-building trips can estimate the full event cost (accommodation, catering, activities, transport) with a dedicated calculator. Severance pay, notice period and leave. When dismissed for reasons not related to the employee (e.g. redundancy), severance pay is due: one month's salary for under 2 years of service, two months for 2–8 years, and three months for over 8 years with the same employer. The notice period for an employment contract depends on tenure: 2 weeks for under 6 months of employment, 1 month for 6 months to 3 years, and 3 months for 3 years or more. Annual leave entitlement is 20 days per year for under 10 years of combined work and education seniority, rising to 26 days after 10 years — education time counts toward seniority. The 2026 minimum wage is a reference point for many statutory calculations — the current figure is available in the salary calculator. Remote work and other entitlements. An employee working remotely may receive an allowance or flat-rate reimbursement from the employer covering higher electricity and telecom costs — the amount is set by internal policy or agreement, and you can estimate it with the remote-work cost calculator. You can also check part-time employment ratios, leave seniority, unpaid and training leave, pre-retirement protection, or pay for downtime. All results are indicative — for your specific situation, consult HR or a labour-law adviser.
