Travel budget calculator 2026

Planning a trip involves much more than booking flights and hotels — you need a clear picture of all your expected expenses to avoid overspending. Our travel budget calculator lets you estimate the total cost of any trip in seconds, covering every major spending category: transport, accommodation, food, tourist attractions, and miscellaneous expenses. Enter the number of travellers and the length of your trip in days, then fill in your estimated costs per category. Transport is a one-off total for the whole group (e.g. flights, fuel, car hire). Accommodation is entered per person per night — the calculator multiplies it by nights and travellers automatically. Food is the daily budget per person, while attractions represent the total per-person spend across the whole trip. The results give you three key figures: the grand total for the group, the cost per person, and the average daily cost. This makes it easy to compare different scenarios — for example, whether it is worth upgrading accommodation or whether cutting back on restaurant meals saves meaningful money. The calculator is perfect for family holidays, group trips with friends, business travel or solo adventures. Use the results to identify the biggest cost drivers and find areas where you can save. If accommodation dominates the budget, consider hostels, apartments or off-season travel. If transport is the largest item, compare flying versus driving or taking the train. With all figures in one place you can make informed decisions and travel with confidence.

How we calculate the travel budget

Grand total = transport + (accommodation × days × people) + (food × days × people) + (attractions × people) + miscellaneous. Transport and miscellaneous are treated as one-off group costs. Accommodation and food are entered per person per night/day and multiplied accordingly. Attractions are the total per-person cost for the whole trip. Cost per person = grand total ÷ number of people. Cost per day = grand total ÷ number of days. All amounts in PLN.

Example: 2 people, 7 days, Poland

Consider a 7-day road trip in Poland for 2 people. Transport (fuel and tolls): PLN 500. Accommodation at a guesthouse: PLN 150/person/night × 7 nights × 2 people = PLN 2,100. Food: PLN 100/person/day × 7 days × 2 people = PLN 1,400. Attractions: PLN 200/person × 2 people = PLN 400. Miscellaneous: PLN 100. Grand total = 500 + 2,100 + 1,400 + 400 + 100 = PLN 4,500. Cost per person = PLN 2,250. Cost per day = approx. PLN 643.

Frequently asked questions

How much does a week-long trip for 2 people cost?

A week-long trip for 2 people in Poland typically costs between PLN 2,000 and PLN 5,000 depending on accommodation standard and travel style. Mid-range hotel accommodation runs about PLN 150–250 per person per night, food PLN 80–150 per day, and transport by car PLN 200–500 total. Use our calculator to plan each budget line precisely.

How is the cost per person calculated?

The calculator divides the grand total by the number of travellers to give the cost per person. Transport and miscellaneous costs are split equally among all participants, while accommodation and food are already entered per person — the calculator scales them up to the full group.

How much spending money should I take per day?

Daily travel costs depend on your destination and travel style. In Poland, a budget traveller can manage on PLN 100–150 per person per day, while mid-range travel costs PLN 150–300. In Western Europe, plan for PLN 200–400 per day. The calculator shows your average daily cost automatically in the 'Cost per day' result.

Yes. Transport and miscellaneous costs are treated as a shared group expense and automatically divided by the number of people. Accommodation, food, and attractions are entered per person — the calculator multiplies them up to give the group total and then provides the per-person breakdown.

Commonly forgotten expenses include travel insurance (PLN 30–100 per person), airport and baggage fees (PLN 20–200), currency exchange commissions, tips, souvenirs and shopping, and an emergency contingency fund of around 10–15% of the total budget for unexpected expenses.

The most effective ways are: booking flights and hotels well in advance (3–6 months), travelling in the shoulder or off season, choosing hostels or apartments over hotels, using public transport instead of taxis, self-catering where possible, and looking for free attractions and museum free-entry days.

Yes. Multi-currency cards such as Revolut or Wise eliminate foreign exchange commissions that typically run 2–4% per transaction. On a PLN 5,000 trip budget you can save PLN 100–200. It is also worth carrying some local cash for small purchases and places that do not accept cards.

A week's all-inclusive holiday to popular destinations (Turkey, Egypt, Greece) costs from around PLN 2,500 to over PLN 6,000 per person depending on hotel standard and season. Food and hotel entertainment are included in the price, but budget an extra PLN 300–600 per person for activities outside the resort.

For groups of 4 or more, consider hiring a minibus or car instead of flying (often cheaper), renting an apartment instead of multiple hotel rooms, and negotiating group discounts on attractions. Our calculator handles up to 50 people and automatically calculates the per-person cost split.

Grand total = transport + (accommodation × days × people) + (food × days × people) + (attractions × people) + miscellaneous. Cost per person = grand total ÷ people. Cost per day = grand total ÷ days. All values are in Polish zloty (PLN).

This calculator is for indicative planning purposes only. Actual costs may vary depending on destination, season, service standard and individual choices.
